Benchtime Privacy Policy
Last updated: October 21, 2026
Benchtime is a Shopify app made by Red Dirt Software, Tulsa, Oklahoma, USA ("we", "us"). It helps made-to-order shops schedule production and show customers when their order will ship. This policy explains what information Benchtime collects when a merchant installs it, why, and what happens to it.
We collect only what the app needs to work. Benchtime does not collect or store customer names, email addresses, phone numbers, postal addresses or payment details.
Who this policy covers
- Merchants: Shopify store owners and staff who install Benchtime.
- Customers: people who buy from a store that uses Benchtime. We handle a small amount of order information on the merchant's behalf.
What we collect
When a merchant installs Benchtime, Shopify gives the app access to parts of the store through its API. Benchtime stores the following.
About the store
- The store's Shopify domain (for example
your-store.myshopify.com) and the access token Shopify issues to the app. - The store's time zone.
- The production settings the merchant enters: capacity, workdays, closures, stages, lead times and similar.
- Which Benchtime plan the store is on.
About orders (only those the merchant tracks as made to order)
- Shopify's internal order ID and the order number (for example
#1042). - The date the order was placed.
- For each tracked item: the product title, variant title, quantity and Shopify product ID.
- Production information Benchtime creates: the current stage, place in line, calculated finish and ship-by dates, and whether it's a rush order.
- Anything the merchant types in: a promised date and an internal note. Merchants should not put customer personal details in notes.
- A random, unguessable code used for the order's customer status page.
About products (only those the merchant sets a rule for)
- The product ID, title and image URL, plus the merchant's rule (extra lead days, workload, made-to-order or not).
What we do not collect
- Customer names, emails, phone numbers or addresses. Benchtime does not request Shopify access to these fields.
- Payment or card information.
- Browsing behaviour. Benchtime sets no tracking cookies on the storefront and uses no analytics or advertising tools.
How we use it
We use this information only to provide Benchtime's features to the merchant:
- to place orders on the production board and work out ship-by dates;
- to show the next ship-by date on the store's product pages and at checkout (Benchtime writes this date to the store as Shopify metafields);
- to show a customer the progress of their order on a status page;
- to apply the store's plan allowance.
We do not sell, rent or share this information for advertising, and we do not use it for any other purpose.
The customer status page
Merchants can copy a private link for any order and send it to their customer. Anyone with the link can see the shop's name, the order number, the items being made, the current production stage and the estimated ship-by date. The page shows no names, contact details or addresses, and search engines are asked not to index it. The link stops working if the order is cancelled.
Who we share it with
- Shopify, which is where the information comes from and where ship-by dates are written back.
- Render (render.com), our hosting provider, which runs the app in the United States (US East, Ohio). It processes data only to host Benchtime for us.
- Supabase (supabase.com), which hosts our Postgres database in the United States (US East, Ohio). It stores data only to host Benchtime's database for us.
- Cloudflare, which forwards email sent to our support address. It handles only emails you send us.
We will disclose information if the law requires it. We have no other sub-processors.
How long we keep it
- While Benchtime is installed: we keep the store's settings and its tracked orders, including finished ones, so the merchant keeps their production history. Merchants can choose to have finished orders deleted automatically after 1 year or 2 years in Benchtime's Settings. The default is to keep them.
- When a merchant uninstalls: we delete the store's access token straight away. 48 hours after uninstall, Shopify sends a request to erase the store's data, and we then permanently delete everything we hold for that store: settings, orders and product rules.
- Backups: Our database host (Supabase) keeps automatic daily backups for 7 days for disaster recovery. Deleted data drops out of backups when they expire.
Data requests from customers
Shopify forwards customer data and deletion requests to apps. Benchtime holds no information that identifies a customer (no name, email, phone or address), so there is nothing personal to return or erase. The order and item details stay with the merchant's production records until the merchant uninstalls, as described above. If a customer wants their order information removed, they should contact the store they bought from.
Security
Data is encrypted in transit (HTTPS) between Shopify, the app and the customer status page. Our database is encrypted at rest by Supabase, and its backups are encrypted too. Access to the production database is limited to Red Dirt Software.
Your rights
Merchants can see everything Benchtime stores about their orders inside the app, and they can remove all of it by uninstalling. Merchants and customers in regions with data protection laws (such as the GDPR in Europe or the CCPA in California) can ask us about their information using the contact details below. For customer orders, we act on the merchant's instructions, as a processor or service provider.
Children
Benchtime is a business tool and is not directed at children.
Changes
If we change this policy, we'll update the date at the top. If a change materially affects how we use store data, we'll tell merchants inside the app.
